Files you process stay on your device and we have no access to them, so a description is the only way for us to understand a problem. The more of the following you can include, the better:

• Which tool you used and the page address, for example /compress-image.
• Your browser and version, and whether you were on a phone, tablet or computer.
• What you did, what you expected and what happened instead.
• The exact wording of any message the tool showed you, and the type and approximate size of the file — for example “a 6 MB JPEG” or “a semicolon-separated CSV of about 20,000 rows”.
• If the problem is with a specific file, a small made-up example that reproduces it rather than the original.

Please do not attach original documents, spreadsheets, images or exports that contain personal, confidential or commercially sensitive information. Anything you email leaves your device, passes through email providers and arrives in our mailbox, where it is readable — unlike the files you process in the tools. Redact the data or send a made-up sample instead.

FormatOnce is a small free service run by a small company. We read everything and reply as soon as we reasonably can, but we do not promise a response time and there is no support guarantee. Statutory deadlines for data protection requests are a separate matter and are described in the Privacy Notice.

We keep correspondence only as long as it is needed to deal with the matter and any follow-up, as explained under retention in the privacy notice.
